How CALA handles your information
This notice explains what we do with the details you give us when you enquire about training. Last updated August 2026.
Who we are
CALA (Childcare & Learning Academy) provides safeguarding and child protection training to childcare and Early Years settings in Northern Ireland. We are based in Newry and can be contacted at contact@calacademy.co.uk.
What we collect
If you use the enquiry form or email or phone us, we collect only what you choose to give us:
- your name, and the setting or organisation you work for
- your email address and, if you provide it, your phone number
- the course you are interested in, approximate participant numbers and preferred dates
- anything else you write in your message
Please do not include any information about a child, or any safeguarding concern, in an enquiry. Concerns about a child should go to your designated officer and the relevant Gateway team, not to us.
If you confirm a booking using our booking terms acceptance form, we also record the name and role of the person accepting, the setting, the course and date, the version of the terms accepted, and the date, time and IP address of the confirmation. We keep this as the record that the terms were agreed, and we send a copy to the person who accepted them.
Why we use it
We use these details only to answer your enquiry, provide a quotation and arrange and deliver training. Where training goes ahead, we keep attendance records and issue certificates, which we retain so that certificates can be reissued and to evidence training delivered. We keep booking terms acceptances so that both of us have a clear record of what was agreed for a booking.
Who else sees it
Enquiries are sent to our CALA mailbox, which is hosted by IONOS, our website and email provider. We do not sell your information and we do not share it with anyone else for marketing. We may share information where we are required to do so by law.
How long we keep it
Enquiries that do not lead to a booking are deleted within twelve months. Booking terms acceptances are kept for six years from the date of the course, in line with the period in which a contract dispute could arise. Training records and certificate details are kept for the three-year life of the certificate and a reasonable period afterwards, so that we can confirm training was completed.
Cookies
This website does not set cookies and does not use advertising or tracking services.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete it. Email contact@calacademy.co.uk and we will respond within one month. If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk.
